Our Process
From First Conversation to Final Walkthrough
Creating an exceptional landscape should be exciting, not overwhelming. Our 7-stage process is designed to guide you from your first idea through the final installation with clarity, communication, and confidence every step of the way.
Discovery
Understanding Your Vision
Every project begins with a complimentary 15-minute Discovery Call with Ryan.
During this conversation, we’ll learn about your project, discuss your goals, timeline, and priorities, answer your initial questions, and determine whether Bluegrass is the right fit for what you’re hoping to accomplish.
If it appears we’re a good fit, the next step is a Project Consultation at your home. During this dedicated meeting, Ryan will walk your property with you, explore opportunities and challenges unique to your site, and gain a deeper understanding of your vision before making recommendations.
The Project Consultation is a $249 investment. If you choose to move forward with Bluegrass, that investment will be credited toward your next phase of work.
What To Expect
During this meeting, we’ll discuss:
- What You’d Like to Improve or Change
- How You Want to Use Your Outdoor Space
- Design Preferences and Inspiration
- Maintenance Expectations
- Site Challenges and Opportunities
- Budget and Investment Expectations
Our goal is to fully understand both your vision and your property before recommending solutions. We believe thoughtful planning leads to better projects, clearer communication, and a more enjoyable experience from start to finish.
- What You Receive
- Complimentary 15-minute Discovery Call
- Dedicated On-Site Project Consultation
- Professional Evaluation of Your Property
- Expert Guidance and Recommendations
- Clear Next Steps for Your Project
Design
Bringing Ideas to Life
Not every project requires a formal design phase. Following your Project Consultation, some smaller or more straightforward projects can move directly to a detailed proposal. More complex projects, however, benefit tremendously from a thoughtful design process.
However, for many projects, especially those involving multiple elements, challenging site conditions, or long-term planning, design becomes one of the most valuable parts of the process.
A thoughtful design helps ensure your project is well planned, visually cohesive, and built to fit your property correctly the first time. In many cases, it helps homeowners avoid costly changes during construction and leads to a more refined final result.
What To Expect
Depending on the project, this stage may include:
- Site measurements and analysis
- Concept Development
- Layout Planning
- Material Recommendations
- Planting and Landscape Concepts
- Visual Representation of the Proposed Design
- What You Receive
- A Clear Concept for Your Outdoor Space
- A Visual Plan for Your Project (When Applicable)
- Professional Recommendations Tailored to Your Property
Collaboration

Proposal
Transparent Pricing
Once the design is finalized, we’ll prepare a detailed proposal outlining the scope of work and project investment.
We believe homeowners deserve clear, transparent pricing and a full understanding of what is included before making any decisions.
Your proposal will be broken down into individual work areas, allowing you to move forward with the items you want now while placing others on hold for a later phase if needed.

- Detailed Project Proposal
- Clear Scope of Work
- Transparent Pricing by Category or Area
- Flexibility to Prioritize or Phase Portions of the Project
